Document Scanners

Studies have shown that mismanagement of document scanning accounts for nearly 21% of the productivity losses that businesses experience, so it's clear that providing customers with the right hardware is something that a lot of vendors regularly fail to do. Document scanners range from small portable solutions to impressive large-format devices which, when used correctly, allow your customers to speed up the management and integration of documents via the use of an automated process.

Document scanners can be divided into four main categories, each being defined by the format of the paper that needs to be digitised. 

• Flatbed scanners: optical scanner that uses a flat surface for scanning and capturing all elements on the document. Typically used in offices as part of a multifunctional printing system.
• Sheetfed scanners: specifically designed for scanning loose sheets of paper and unbound documents. The paper is placed in a feeder tray and once the scanning process is started, the pages are fed through the machine automatically and digitised one by one.
• Large format scanners: employed to digitise oversized documents and convert oversized paper documents into digital files. Commonly, large format documents include any paper larger than DIN A4, common with things like maps, posters, banners, blueprints, circuit diagrams as well as engineering and architectural drawings.

High-volume Scanners

In areas such as banking, financial services, government administration, or healthcare where large volumes of documents are digitised and converted on a daily basis, the capture process can often be tedious and prone to error when a standard document scanner is used. A high-volume document scanner can turn the capture process of scanning, validating, indexing, and extracting data into a speedy, automated, and efficient process. High-volume scanners can digitise documents at a rate of over 90 pages per minute, considerably quicker than workgroup, desktop, and other departmental scanners on the market. If an organisation is digitising upwards of 40,000 documents per day, investing in a high-volume scanner should be at the top of your list of priorities.

• Intelligent imprinting: Imprinters are small built-in inkjet printers, usually added as an optional accessory, that can print incremental values, letters, times, dates, and batch numbers on scanned documents.
• Barcode recognition technology: using automatic batch scanning to facilitate data integration into document-management systems. This is done by inserting barcode sheets with folder names or index information onto the document stack.
• Sorting pockets: High-volume scanners can be equipped with sorting pockets in order to separate different types of documents after digitisation. This way things like bank statements, credit card bills, and receipts are kept apart to allow for physical archiving further down the line.
• Multi-feed detection: This is a fast and easy way to check and correct information during the scanning process and to detect when two or more sheets of paper are scanned through the automatic document feeder simultaneously. High-volume scanners usually have three or more multi-feed sensors built into them.
